PATTERSON JOB GRADE – C3 DUTY STATION: WINDHOEK Purpose of the position: To provide corporate documents on governance, compliance, and contract management, be proactive and able to identify legal risks and potential liabilities to report these to the Principal Officer: Legal, Governance, Risk, and Compliance. To provide legal support in terms of contracts and general legal work required in the division. Responsible for the execution of paralegal and general secretarial duties for the compliance, legal, and company secretary division. Key performance areas: Generic Secretarial & Administrative Support Function Provide accurate legal document preparation, correspondence, and routine legal administrative support. Maintain legal diaries, records, meeting documentation, minutes, and correspondence, and provide general secretarial support to the Principal Officer. 2. Travel Administration Manage diary, travel, accommodation, daily subsistence, and related arrangements and documentation for the Principal Officer. 3. Meeting Administration Coordinate hearings, appointments, and internal/external meetings, including Board meetings, and ensure the required materials and logistics are in place. 4. Record Management Maintain secure and accessible electronic and hard-copy records, track incoming requests, and monitor legal and project deadlines. 5. Basic Legal Research and monitoring of legal landcsape Conduct basic legal research and monitor Government Gazettes, circulars, legislative developments, and regulatory best practices relevant to the Administration. 6. Administration of Contract Management Initiate and maintain administrative functions related to contract management. 7. Contract Management Manage contract risks, renewals, and terminations; monitor contractual deliverables, timelines, and expenditure; and liaise with divisions on contract expiry or extension. Ensure that contracts are signed in accordance with the essential elements of a contract. Compile governance reports and contract/governance recommendations for Board or Committee consideration and monitor relevant market trends. 8. Responsible for all Procurement Coordination and Administration Complete procurement requirements and requisitions for the Division, verify budget availability, and request orders for payment after authorisation. Qualification Requirements: A Bachelor of Laws Degree or a relevant qualification, NQF Level 8. Experience and special knowledge requirements A minimum of five (5) years demonstrated working experience in a legal environment, of which at least two (2) years should be in a corporate environment with experience in contract management and paralegal duties. Code BE Driver’s Licence. Knowledge of online legal research platforms, i.e., JUTA, will be required. Requirements
