About the role

Primary PurposeSupports the coordination of routine domestic and international freight movements under guidance, ensuring shipment information, documentation, system records and stakeholder communication are accurate and timely, while adhering to operational procedures and escalating exceptions appropriately.Key Responsibilities include but are not limited to: • Support assigned customer shipments accurately and timeously focusing on shipment execution while developing an understanding of the customer’s wider service requirements. • Coordinate end-to-end import, export and transit shipments via air, sea and road, including bookings, consolidation, warehousing and transshipment. • Select efficient and cost-effective transport modes and obtain competitive freight rates from carriers and logistics providers within delegated guidance. • Monitor cargo movement, follow up on shipment progress and escalate delays or disruptions timeously. • Prepare quotations for approval for less complex enquiries and routine shipments and verify supplier costs against the prepared and approved quotation. • Address routine client concerns, customs issues and shipment delays in a transparent and service-focused manner. • Prepare and verify shipping and customs documentation, including bills of lading, invoices and packing lists, in line with Incoterms, customs requirements and trade regulations. • Collaborate with customs brokers, clearing agents and relevant authorities to support timely and compliant clearance of goods. • Maintain accurate shipment, customs and financial records for audit readiness, tracking and compliance purposes. • Stay informed on customs duties, tariffs and trade agreements to support compliant client advice and operational decision-making. • Demonstrate responsibility and commitment by adhering to the ISO standards to which MGN is certified in all assigned duties. • Use Microsoft Office, Asycuda World, EDI workflow and CSS systems accurately to process freight, customs and operational information. • Track freight rates, port charges, surcharges and shipment information to support accurate operational reporting and cost control. • Ensure data captured on operational and customs systems is complete, accurate and available for follow-up, tracking and stakeholder communication. • Build and maintain constructive working relationships with clients, freight forwarders, carriers, customs officials, clearing agents and service providers. • Communicate shipment updates, documentation requirements and operational issues clearly and timeously to internal and external stakeholders. • Share practical freight, customs and process knowledge with colleagues to support consistent service delivery and team learning. • Work closely with the finance team to support timely payments to carriers and service providers. • Issue invoices, credit notes and payment requests accurately and communicate related requirements to relevant stakeholders. • Support cost-effective utilisation of time, transport options, service providers and operational resources in daily freight coordination activities. • Demonstrate values-based conduct, accountability and professionalism in daily interactions with colleagues, clients, service providers and other stakeholders. • Support a positive team environment by cooperating with colleagues, sharing relevant information and contributing to respectful working relationships. • Manage routine interpersonal challenges constructively and escalate unresolved issues through the appropriate channels. • Adapt to operational changes, process improvements and service requirements in a responsible and cooperative manner. **Company Contact:** Address: 2nd Street East, Walvis Bay, Erongo, Namibia Walvis Bay, ER, Namibia Phone: 064-2012038 Website: http://manica.com.na

Requirements

  • [Minimum Requirements:]
  • NQF-Level 3 qualification: NSSCO Ordinary Level.
  • FIATA or Business Process Management (CATS) Diploma would be an advantage.
  • One year freight, cargo, customs and forwarding experience.
  • Valid driver's licence; practical working knowledge of Microsoft Office, Asycuda World, EDI workflow and CSS systems.
