About the role
Primary PurposeTo support efficient, compliant, cost-effective, and customer-focused freight services through accurate coordination, use of systems and data, stakeholder communication, adherence to procedures, resource awareness, and responsible personal conduct.Key Responsibilities include but are not limited to: • Coordinate end-to-end shipment movements, including imports, exports, transit shipments, warehousing, cargo releases, deliveries, collections, and transport scheduling. • Take ownership of assigned customer accounts, managing the full shipment cycle while understanding customer needs, anticipating requirements, and ensuring consistent service delivery. • Plan, prioritise, monitor, and execute shipment activities within agreed timelines, service standards, customer expectations, and departmental performance targets. • Identify operational risks, assist in resolving routine shipment issues, communicate corrective actions, and escalate complex, high-risk, financial, compliance, or reputational matters when required. • Check and apply Incoterms, customs requirements, trade regulations, documentation requirements, permits, and country-specific procedures before shipment execution. • Maintain accurate shipment records, job files, supporting documents, and audit-ready compliance information. • Demonstrate responsibility and commitment by adhering to the ISO standards to which MGN is certified in all assigned duties. • Assist with resolving customs, compliance, documentation, and operational control queries while escalating exceptions appropriately. • Use CargoWise, ASYCUDA, Microsoft Office, and relevant logistics systems to capture, update, and maintain shipment information, documentation flow, job files, and operational instructions accurately. • Maintain data integrity by ensuring operational costs, supplier charges, quotations, job costing, invoicing information, and shipment milestones are captured correctly. • Provide accurate shipment, costing, supplier, and customer information to support practical decisions, service delivery monitoring, and continuous improvement. • Build effective working relationships with customers, shipping lines, transporters, airlines, agents, suppliers, service providers, finance, and internal stakeholders. • Communicate clearly and professionally, provide practical logistics solutions, and support a customer-focused service culture. • Contribute to process improvement, knowledge sharing, change readiness, and the consistent application of operational standards within the department. • Prepare accurate quotations and cost estimates, review routing and service options for cost-effectiveness, and maintain awareness of supplier tariffs and charges. • Verify supplier invoices and shipment costs, ensure alignment between quotations, job costing and invoicing, and support cost recovery and discrepancy resolution. • Coordinate bookings, schedules, transport arrangements, supplier follow-ups, and workflow priorities to support efficient use of time, costs, systems, and operational resources. • Demonstrate personal leadership through accountability, professionalism, initiative, ethical conduct, and ownership of assigned responsibilities. • Support team effectiveness by collaborating constructively, sharing operational knowledge, assisting colleagues where appropriate, and contributing to a positive, service-driven work environment. • Communicate reliably with stakeholders, follow up on agreed actions, support problem-solving, and escalate matters that may affect service delivery, compliance, cost, or customer relationships. **Company Contact:** Address: 2nd Street East, Walvis Bay, Erongo, Namibia Walvis Bay, ER, Namibia Phone: 064-2012038 Website: http://manica.com.na
Requirements
- [Minimum Requirements:]
- NQF Level 5 (Certificate or Diploma in Logistics, Supply Chain Management, Freight Forwarding, Transport Management or equivalent; or Grade 12 with at least 2 years’ relevant industry experience.
- Advantageous certifications or training include FIATA Certification, CargoWise Certification or Training, Customs or Trade Compliance Training, Dangerous Goods Awareness, and Supply Chain or Logistics Certification.
- Three years’ experience in freight forwarding, logistics coordination, customs, or clearing and forwarding operations.
- Experience handling imports, exports, transit, warehouse, cross-border shipments, quotations, operational costing, customer accounts, and moderate-complexity shipment challenges across road, sea, and air freight.
